Alliance Point Social Events – Terms & Conditions

Welcome to Alliance Point Social Events (“AP Social Events,” “we,” “our,” or “us”). By booking our venue, services, or accessing our property, you agree to the following Terms and Conditions. These terms are designed to ensure a seamless, professional, and memorable experience for all our valued guests.

1. Booking and Payment

1.1. Reservation Confirmation:
A date is not considered confirmed until the
initial deposit and signed agreement are received. Without both, your desired date remains open to other clients.

1.2. Deposit Structure:
Deposits are
non-refundable and applied toward your total event balance. Payment plans may be available and will be outlined in your invoice.

1.3. Payment Methods:
We accept payments through HoneyBook, credit/debit card, ACH transfer, or other approved platforms. Cash payments must be pre-approved.

1.4. Final Payment:
All balances must be paid
no later than 30 days before the event date, unless otherwise stated in your invoice or contract.


2. Cancellations, Reschedules, and Refunds

2.1. Cancellations:
All payments made are
non-refundable, regardless of the reason for cancellation.

2.2. Rescheduling:
Clients may request one date change, subject to availability and management approval. Any reschedule request must be made
at least 60 days prior to the original event date.

2.3. Force Majeure:
In the event of unforeseen circumstances (e.g., natural disasters, venue damage, government restrictions), AP Social Events reserves the right to reschedule the event or issue venue credit at our discretion.


3. Event Guidelines

3.1. Event Duration:
Event time includes setup and breakdown periods as outlined in your package. Any additional time is subject to an
overtime fee billed in 30-minute increments.

3.2. Capacity:
The maximum guest capacity must be adhered to as per the agreement. Exceeding the stated capacity may result in additional charges or immediate termination of the event.

3.3. Decor and Setup:
All decor installations must be pre-approved. Nails, tape, or adhesives that damage surfaces are prohibited. Clients are responsible for all damages caused by guests, vendors, or decor installers.

3.4. Vendors:
Outside vendors must be licensed and insured when required. AP Social Events reserves the right to deny entry to vendors who do not meet our standards or venue policies.


4. Conduct and Liability

4.1. Guest Behavior:
Clients are responsible for ensuring all guests behave respectfully and comply with venue rules. Excessive noise, violence, or illegal activity will result in immediate termination of the event without refund.

4.2. Damage and Cleaning:
A
cleaning fee is included in most packages. However, any excessive damage, spills, or mess beyond normal use will incur additional cleaning or repair charges.

4.3. Liability:
AP Social Events is not responsible for loss, theft, or damage of personal property, nor for injury sustained on the premises. Clients agree to indemnify and hold harmless AP Social Events, its owners, and staff from any claims arising from the event.


5. Photography, Media, and Marketing

5.1. Venue Media Rights:
By hosting an event at AP Social Events, clients grant permission for photos or videos taken during the event (by staff or vendors) to be used for marketing, social media, or promotional purposes, unless otherwise requested in writing prior to the event.

5.2. Client Privacy:
We value discretion and professionalism. Client photos will never be sold or misused beyond promotional materials representing our venue.


6. Security and Safety

6.1. Security Requirements:
Depending on event type, security personnel may be required at the client’s expense.

6.2. Prohibited Items:
No weapons, illegal substances, or hazardous materials are permitted.

6.3. Emergency Protocols:
Clients must follow staff instructions in the event of an emergency or evacuation.


7. Venue Access and Property Use

7.1. Access Code:
Access will be granted on the event day per the timeline outlined in your booking confirmation. Unauthorized entry before or after scheduled time is strictly prohibited.

7.2. Property Use:
The venue may not be used for purposes other than those specified in your agreement (e.g., filming, pop-ups, or ticketed events) without written consent.

7.3. Parking:
Guests must park in designated areas only. AP Social Events is not liable for damage, towing, or theft involving vehicles on property.


8. Modifications

We reserve the right to update or modify these Terms and Conditions at any time. The most current version will always be available on our website or by request.


9. Acceptance

By submitting payment, signing your invoice, or accessing the venue, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
